Advise your clients to document everything

In the insurance world, documentation is critical. Have your clients write down summaries of conversations and steps they take when filing a claim. And make sure your clients keep copies of any records they send to their insurance company. Having an organized list of documents helps when your clients need to find something or resubmit a copy to the insurance company. 

Make sure paperwork is completed correctly and on time 

Help your clients with any paperwork they need to fill out to file their claims. Some forms have to be filed in a timely manner, say within 60 or 90 days of the loss. Insurance forms can be confusing, so working together with your client to complete them is a best practice. Many insurance companies have digital versions of their forms you can complete online to save time and mailing costs. 

Keep an eye on deadlines and make sure your clients submit thorough documentation the first time around to avoid unnecessary delays. 

Translate insurance jargon for your clients 

Insurance companies love to use abbreviations and technical jargon. And while you are used to the language, your clients may not be. Help translate insurance-related terms and jargon for your clients and their families. 

Do not assume they understand insurance terminology. Take the time to spell out abbreviations and use common words when talking with your clients. It is critical your clients understand the insurance and claims process, so be sure to use language that is easily understood. 

Have the right experts in place 

Some claims require more proof than others, and if you are helping your client with a complex claim you may need to have additional experts in place to help make the claim successful. If your client needs to have medical records or an exam, for example, make sure to have the right team in place to support their needs. 

The same goes for your support staff — assign the right people to claims when necessary to ensure success. 

Take advantage of technology 

Many insurance companies are investing heavily in technology. This means you can take advantage of digital processes and workflows to help your clients with their claims submissions. When you go to a website for information, chatbots are often available to help answer your specific questions, and this is true of insurance companies, as well. 

With digital portals, online processing, and app-based technology many claims can be handled online. This is a great way to help your clients ensure their claims are successful. 

Remain available to answer questions and guide the claims process    

Even though much of your interactions are digital, make sure to stay available to your clients during the claims process. No one likes to file a claim and it can be stressful. But as their agent, you can help your clients and their families by being available and proactive to help guide each step of the claims process.
